How can I create a new offer, invoice or delivery note?
With ready2order, you can easily create offers, delivery bills and invoices and specify the percentage at which the order will be completed and until when the offer is valid.
To do this, proceed as follows:
- Click on Office
- Click on the blue + next to Administration
- Choose whether you want to create a new offer, a new delivery bill or a new invoice.
- Select a customer
- Enter a creator
- Enter a status when you create an offer: is it already confirmed, rejected or still waiting for a response?
- Choose a color: Green, Orange, Red
- Click on Edit Positions
- Add a position
- Add another position
- Continue in this way until your offer/delivery note/invoice is ready
- Under Edit text, you can add a personal text
- Click Save
All other fields are optional. We recommend that you fill in all the information you have.
Note: To delete a offer, invoice or delivery bill, you can select the desired type in the Admin Interface under Office. Then click on Action and select Delete/Cancel and follow the respective instructions.
Assigning an Order to a Customer (Without Creating a Document)
Besides directly creating invoices, quotes, and delivery notes, you can also assign an order to a customer without immediately creating a document. This is useful if you want to capture incoming orders first and generate a delivery note or invoice from them later.
- Log in to the administration interface.
- Click on the Office tab in the top main navigation.
- Click the blue + next to MANAGEMENT in the main area.
Tip: Alternatively, you can also click the blue text button + New document on the right.
- Select the option Assign orders only to this customer (process later) from the What do you want to create? dropdown menu.
- Select an existing customer from the Customer dropdown menu.
- Optionally configure the following settings in the Details area on the right:
- Price base: Choose between Gross and Net.
- Creator: Select the responsible employee.
- Add positions (tab "Edit positions"):
- Switch to the Edit positions tab at the top of the dialog.
- Click on Add position in the main area.
- Select a product from the list or use the search field to find a specific product.
- Repeat these steps to add all required positions.
- Add text (optional): Click on the Edit text tab at the top of the dialog to add a personal message or notes.
- Save order: Click Save order to complete the assignment.
Processing Incoming Orders
The saved order will then appear in the customer view under the Incoming orders tab. There you can see all ordered products and process them further:
- Select the desired products from the order overview.
- Click on Create delivery note or Create an invoice.
- The selected products will automatically be pre-filled as positions in the respective creation dialog. The remaining steps to finalize the document are described further above in this guide.
